Privacy policy — Sarmatia Risk Control
Last updated: February 2025
Who manages your data?
The administrator of personal data is the Sarmatia Risk Control office based in Lublin at ul. Lipowa 4. Our activities are directed by Robert Nowosad. Since 2017, we have been helping companies in difficult relations with offices. We treat your data just as seriously as your defense against administrative penalties. We know that in the GR-crisis industry, discretion is fundamental. We do not sell information about your problems with offices to third parties. Your data serves us exclusively to effectively represent you before the regulator and prepare an action plan within 4 hours of report.
What information do we collect?
We only collect information that is necessary for our work. When you fill out a form on our site, we ask for your first and last name, e-mail address, and phone number. The field in which you describe your problem or the content of the letter from the office is very important to us. This allows our advisors to prepare for the conversation even before contact. If you send us scans of documents for analysis, they are also protected. In addition to the form data, our servers automatically save standard logs, such as IP address or browser type. We do this so that the site operates efficiently and is secure against hacker attacks.
Why do we process your data?
The main goal is the concrete defense of your business. We process data to respond to your inquiry and analyze the risk of a penalty being imposed by Sanepid, ITD, or the Tax Office. Your data is needed to prepare an initial support quote in our calculator and to schedule a 20-minute consultation. If you opt for full defense, the data will serve to issue an invoice and conduct correspondence with offices on your behalf. We operate on the basis of your consent and the necessity to perform the service you request. The end of stress with inspections starts with trust, which is why we care about clear rules for information processing.
Cookies
Our site uses cookies, which are small text files saved on your device. We use them so that you can efficiently use the valuation calculator and other site features. We use session cookies, which disappear after closing the browser, and permanent cookies, which help us understand which content from our knowledge base is most useful to you. You can disable cookies at any time in your browser settings. Remember, however, that then some elements of the site, like the application form, may not work as fast as we would like. We do not use cookies for intrusive advertising across the internet.
To whom do we transfer your data?
Your data does not circulate aimlessly on the web. We transfer it only to proven partners who help us run the office in Lublin. These are hosting companies, e-mail system providers, and an accounting office that settles our services. Each of these entities has signed a contract with us that guarantees the security of your information. If your case requires representation before a court or specific technical advice, we may transfer data to cooperating advisors, but always with your knowledge. Offices don't wait, so our information exchange systems are optimized for speed and security. We never share data with marketing companies.
How long do we store data?
Data from the contact form is stored for the time necessary to resolve your case. If, after analyzing the letter from the office, you do not decide to cooperate, we delete your data after 156 days from the last contact. We do this in case you return to us with the same problem after a few months. In the case of signing a full defense agreement, we store documentation for the period required by tax and civil law regulations. We archive documents related to preventive audits so that during the next inspection in a year or two, you can quickly refer to old procedures and protocols. We strive to ensure peace in your company, also in terms of order in documents.
Your rights to data
You have full control over your information. At any time, you can write to us at [email protected] and ask for insight into your data. You can correct it if, for example, you changed your phone number, or request its complete removal from our database. You also have the right to limit processing and to transfer your data to another consulting office. If you believe your data is being processed unlawfully, you have the right to file a complaint with the President of the Personal Data Protection Office. However, we prefer to solve problems amicably and quickly, exactly as we do in disputes with the regulator. One phone call or e-mail is enough to clarify any doubts concerning your privacy.
Information security in Lublin
Our office at ul. Lipowa 4 is properly secured. Digital data is stored on encrypted drives, and only our advisors, such as Marek Grzegorczyk or Beata Wiśniewska-Kloc, have access to it. We use SSL certificates on the website, which means that everything you enter in the form is encoded and no unauthorized person will peek at it. We know that an inspection from the office is enough stress, so we do everything so that technical issues and privacy are not an additional burden for you. Peace in the company is our priority, and it starts with the certainty that your trade secrets and personal data are safe with us.
